How this website handles your information.

This notice covers the public StoreScoutAI website, demonstration requests and support chat. Product workspace terms are agreed separately under the customer agreement.

Who this notice is for

This notice applies when you browse storescoutai.co.uk, use website support chat or submit a request for a StoreScoutAI demonstration or follow-up. In this notice, “StoreScoutAI”, “we” and “us” refer to the team operating the StoreScoutAI website and product.

Information you provide

The demonstration form asks for your name, work email, company, optional territory, the way your team currently finds and qualifies stores, an optional plan of interest and acknowledgement of this notice.

How we use it

We use the information to assess the context of your request, tailor a demonstration and reply about a potential StoreScoutAI subscription. We do not use the form to enrol you in an automated marketing sequence.

How the request is delivered

Demonstration requests are sent to HubSpot to create or update a contact record and create a follow-up task, and as an internal notification email. The contact record can include your submitted details, request reference, page address and privacy acknowledgement with its date. A request can still be received if one delivery service is temporarily unavailable. Cloudflare infrastructure and Turnstile process the request to deliver the site, prevent abuse and send the notification. Normal infrastructure security and delivery metadata may also be processed.

We also send a brief alert through our internal sales messaging service. It contains your contact details, company, request reference, territory and plan if provided, and a link to the HubSpot contact where available. It does not contain the full enquiry or chat conversation.

Website support chat

The optional website support chat sends the question and short in-browser conversation context to OpenAI to generate an answer from reviewed StoreScoutAI and official DRS sources. Where the chat offers a follow-up, you may separately provide your name, work email, phone number and optional company and explicitly consent to a response. Those details and recent chat context are sent to HubSpot and as an internal email notification so the team can understand your interest. HubSpot stores the recent chat context with the contact record and includes a short preview in the follow-up task. Without a follow-up request, the website does not create a contact record or a separate transcript database from the chat. Do not enter account information, payment information or confidential business information.

Lawful basis and retention

We process a demonstration request to respond to the steps you ask us to take before a possible commercial agreement and, where relevant, for our legitimate interest in handling genuine business enquiries. The resulting enquiry records and correspondence are kept only as long as reasonably needed to handle the enquiry, maintain appropriate business records and meet legal obligations.

Sharing

We do not sell demonstration-request information. It may be processed by service providers that operate this website, its security controls, support chat, customer relationship management, internal sales messaging and email delivery, or disclosed where legally required.

Cookies and security services

This version of the site does not use advertising cookies. Cloudflare Turnstile may process technical information required to distinguish genuine visitors from automated abuse.

Your rights

Depending on the circumstances, UK data protection law may give you rights to access, correct, erase, restrict or object to processing of your personal information, and to complain to the Information Commissioner's Office.
